We are looking for an experienced Administrative Management Assistant to join our team and provide structured administrative support to a key public sector service focused on digital operations and external service provider coordination.
Key Responsibilities:
I. External Service Provider (ESP) Management
Coordinate the onboarding and offboarding processes of ESPs (appointments, arrivals, departures)
Handle related administrative tasks, including communications with stakeholders and documentation updates
Maintain and update welcome and exit information packs
Monitor ESP mission workflows and assist with guidance and coordination across teams
Support internal guideline updates as needed
Track and review monthly ESP timesheets
Ensure timely communication with ESPs and line managers regarding submissions and compliance
Assist with reporting for internal meetings and support training logistics for ESPs
II. License Management and IT Portfolio Support
Maintain a central list of software licenses and manage renewals
Process incoming license requests and coordinate delivery and installation with technical teams
Follow up on license delivery and ensure proper documentation
Other Duties
Track and assist with requests related to teleworking from abroad
Participate in periodic meetings to present progress and updates on administrative activities
