We are seeking an Administrative Management Assistant to join our team in Brussels.

Description of the project:

We are looking for an experienced Administrative Management Assistant to join our team and provide structured administrative support to a key public sector service focused on digital operations and external service provider coordination.


Key Responsibilities:

I. External Service Provider (ESP) Management

  • Coordinate the onboarding and offboarding processes of ESPs (appointments, arrivals, departures)

  • Handle related administrative tasks, including communications with stakeholders and documentation updates

  • Maintain and update welcome and exit information packs

  • Monitor ESP mission workflows and assist with guidance and coordination across teams

  • Support internal guideline updates as needed

  • Track and review monthly ESP timesheets

  • Ensure timely communication with ESPs and line managers regarding submissions and compliance

  • Assist with reporting for internal meetings and support training logistics for ESPs

II. License Management and IT Portfolio Support

  • Maintain a central list of software licenses and manage renewals

  • Process incoming license requests and coordinate delivery and installation with technical teams

  • Follow up on license delivery and ensure proper documentation

Other Duties

  • Track and assist with requests related to teleworking from abroad

  • Participate in periodic meetings to present progress and updates on administrative activities


Required Skills and Experience:

  • Strong sense of discretion and confidentiality

  • High attention to detail and excellent organizational skills

  • Good communication and interpersonal abilities

  • Client-service orientation

Tools and Technologies

  • Microsoft Office (Excel, Word, Teams, Outlook)

  • Skype for Business

  • Business intelligence tools (e.g., Click, Power BI)

  • Familiarity with administrative tools (e.g., license management systems, procurement platforms)

Languages

  • Strong written and spoken English is required

Desirable

  • Previous experience in an ITIL-oriented environment is a plus


Other requirements:
  • EU Citizenship.
  • Resident or available to relocate to Belgium.
